About the Role: H2Ozarks is seeking an organized, detail-oriented, and customer-focused Admin Assistant / Utility Billing Clerk. In this role, you will be employed by H2Ozarks to manage essential operations for Ozarks Clean Water Company. You will serve as the backbone of our member services and utility billing department. If you have a knack for numbers, enjoy problem-solving for customers, and have experience (or strong comfort) with accounting software, you will thrive in this position. This role mirrors a classic utility billing clerk, handling everything from routine monthly billing to regulatory notifications.
Job description:
Utility Billing & Financial Administration
- Manage and execute the monthly billing cycle for water and sewer fees for approximately 2,000 members.
- Process account penalties, late fees, and service disconnect notices for non-payment.
- Utilize and maintain accurate records within our utility billing and accounting software (QuickBooks).
- Handle daily financial tasks at the member level, including processing returned payments, adjusting accounts, and reconciling daily receipts.
- Act as the primary point of contact for member inquiries via phone and email.
- Facilitate new member onboarding and account setups.
- Assist members with troubleshooting account login issues and navigating the online payment portal.
- Service Order Management: Initiate, track, and manage all customer service orders (such as leak checks, meter lookups, and turn-ons/turn-offs) utilizing Elements software.
- Missouri One Call (811) Dispatching: Promptly process and monitor incoming Missouri One Call locate requests, ensuring they are routed to field staff within legally mandated response windows.
- Field Crew Liaison: Act as the central point of contact for water operators and field technicians, proactively gathering project updates and data to ensure all service orders are closed out and recorded accurately.
- Prepare and distribute specialized notices to members as required by the Department of Natural Resources (DNR).
- Coordinate communication regarding critical compliance programs.
- Prepare and maintain documents, spreadsheets, communications, and collaborative materials using Microsoft Office applications such as Excel, Outlook, Word, SharePoint, and Teams.
- Maintain and navigate structured digital filing systems to ensure organized, accessible, and up-to-date records.
- Gather, connect, and interpret information from multiple resources to produce accurate data and clear reports.
- Communicate professionally in both written and verbal formats.
- Perform other related tasks as needed to support the organization.
- Experience: 1–3 years of experience in utility billing, bookkeeping, or a high-volume administrative role preferred.
- Software Proficiency: Comfort and experience working with accounting software (specifically QuickBooks) is highly preferred. Ability to quickly learn proprietary utility billing systems.
- Customer Service: Exceptional interpersonal and communication skills, with a proven ability to handle customer inquiries and collections firmly yet politely.
- Detail-Oriented: High level of accuracy in data entry and financial record-keeping.
- Problem-Solving: Ability to investigate billing discrepancies and resolve technical account access issues for members.
- Starting $17.50 per hour commensurate with experience and demonstrated skills.
